For a few days, record what you spend time on. Highlight recurring tasks, information comparisons and requests with a clear outcome. Then ask:

  • Could another person do this if they knew my preferences and had the right access?
  • Can I define when my decision is needed?
  • Would handing it over give me time back or fewer things to remember?

If the answers are yes, you have a good candidate. You do not need a complete library of process documents before you begin.

How to delegate without writing a step-by-step manual

Describe the result, deadline and constraints. You do not need to explain every search step or how to build the comparison.

“I need three options for a house in Madeira for a week with our two-year-old. Within our budget, with a kitchen and a cot. I want to choose by Friday. I’ll approve the booking separately.”

This is an illustrative message, not a quotation from a client conversation. It shows how you can explain the outcome while your assistant organises the work. If an important detail is missing, they should ask.

What is outside the scope?

Virtual assistance does not automatically include accounting, legal advice, marketing strategy or call-centre services. An assistant can help prepare materials and coordinate activity, while specialist work requires the right expertise.
