What tools do you need to begin?
Agree where new tasks arrive, where their status appears and where the completed result is stored. If that requires searching five messaging apps, simplify the process.

Use conversation for context and a list for tracking
A message conveys context quickly, but can disappear in a longer discussion. Agree who captures requests in the shared list. Clients need not complete a form for every request if the assistant can organise the message and confirm the scope.
Record the expected result, deadline, owner and any obstacle. “Awaiting your decision” is more useful than an unexplained “in progress”. Do not add another app if the current list works for both people.
Calendar access without sharing your whole account
Give access appropriate to the task. Free/busy visibility may support comparisons; creating meetings requires suitable editing permissions.
Google Calendar supports different access levels. Agree what is needed rather than automatically granting full control. See the official Google instructions, including work-account limitations.
Keep rules, materials and results in one place
Create a short context library containing the offer, preferences, sample replies and approval rules. Separate current materials from archived files. For research, include source links and the date on which changeable information was checked.
Share only the pages and folders needed. In tools with inherited permissions, check access to nested content as well. Notion explains sharing and permission levels in its documentation.
Where does AI fit?
AI may help draft text, organise notes or suggest a comparison structure. A person should check the output before using it. Generated text alone does not establish a price, availability or a fact.
Agree which tasks may use AI and which data may be entered. Terms vary by product and account settings. Do not assume all accounts work alike. For an example, see ChatGPT’s data controls documentation.

Do you need to buy tools before the first call?
No. Show your current workflow and explain what you need. Organising the existing setup may be enough. During the first week, check that tasks are captured, decisions visible and results easy to find. A specific missing capability can then justify a change.
